If you select our recommended personalized greeting three very important things happen.
- The phone is answered immediately, every time.
- The company name is clearly annunciated exactly the same, every time.
- Recording the personalized greeting by a member of your company helps to bridge your company, the answering service and the caller.
Your callers immediately know they have reached the correct company on the very first ring. The Answering Service Care customer virtual agent answers the call immediately or shortly after the personalized greeting. The agent’s goal is to befriend your caller. The agent will provide his or her name and identify the caller by his or her name. The every call is read back to ensure accuracy. All operators are trained to create a warm, friendly, professional and caring environment for callers.
Three-Ring Option (Option 2 – not recommended).
The answering service care virtual agent is given an opportunity to answer the call within the first three rings. On average we can do that only about 75% of the time. So 25% of your calls bypass a live operator and go directly to a general prerecorded announcement where we answer the phone by company name. After the prerecorded announcement plays, because the phone script is set for the operator to answer your call by company name, the agent repeats the company name. The sound of the call being answered using this option does not flow quite as smooth as Personal Greeting Option 1.
